The orange dot indicates an unread message from a contact. When it appears beside the name of a contact this could mean any of the following things: they sent you an instant message, they’re trying to transfer a file to you or it might even be a birthday notification. This is nothing important, just something that is bugging me about a new feature in Outlook 2010. One of my users asked about it and I can't figure it out. This user, when she starts a new email types in the names of the recipients, they appear after a couple of characters as they are cached and internal addresses. To the left of each name now appears a colored ball; red, green or gray. Hover the mouse over the name and the contact information pops up and has a similar colored band to the left of the picture which appears to indicate availability but it doesn't work based on what's on their calendars. I tried duplicating this functionality on another box but the colored ball, or the band, never appears. So I'm guessing that this user turned something on but I have no idea what.

It sounds like you're describing the 'Presence' indicator I believe, and you should be able to configure it here: • In Outlook, click the File tab. • Click Options. I checked this option on a couple of machines and it is checked, but grayed out.

And the machine that has this checked does not show the symbol by the name in the To field of an email. I've still to check the one that is showing this indicator. Any of the computer where the Display online status next to name was checked and grayed out could not see presence in Outlook regardless of Outlook version. All users where the Display online status next to name was NOT grayed out could see presence. Even used system restore for a user where the box was grayed out and could not see presence and restored to 1 week ago and the box was now NOT grayed out and could see presence. I believe that finding out what causes the box to be grayed out is the culprit.
